Electronic signature

If you want to work completely paperless then we support online signing with eveHRyday.

If you want to use the online signing feature in eveHRyday, it need to be activated within your company or companies first. If you have a direct subscription to eveHRyday, please contact us, we will then activate this feature in your environment. If you use eveHRyday via your payroll processor or accountant, please contact them. They can then contact us to activate this feature in their environment and activate it for your company or companies.

 

Set up

As a payroll processor, you set up this feature under settings per company. To do this, go to the tab General via settings in the left menu. Under enabled functions, you then check 'Request document signing'.

In the support text about document templates you can read how you can set up a template so that you can quickly and easily generate for example an employment contract and submit it for signing.

 

Request signature

Go to the employee, or new employee in the concept changes, and then select Documents in the horizontal menu bar.

Select '+ Add Document'.

After you have added a document, open the line. There you can change the name of the document before submitting the request for the signature.

Then click on 'Request signature' at the top right. Both the employers's and the employee's email address is already filled in by default, you can still change this, but this will only change for the request, not in the master details.

Then enter the email address of the person who has to sign under 'Signer email addresses'. If you want multiple signatories, you can easily add these email addresses. The signature requests are sent to each signer after the previous one has signed. Set the order yourself by moving the line with the email address by placing the mouse to the left of the line, where you will see the arrows to drag.

Once everyone has signed, a notification will be sent to all signatories with a copy of the document, including the audit trail.

 

Legal Representative

If the employee is under the age of 16, a legal representative must always co-sign. We address this by making it mandatory. Whenever this occurs, an extra line will appear to enter the name and email of the legal representative so that they also receive an email to sign the document.

 

Documents in eveHRyday

The original document in eveHRyday is sealed and enhanced with an audit trail after everyone has signed.

Note: This only works with PDF documents when uploading. If you choose "Generate document from template" or "Generate document from .docx file," a PDF will be created automatically.

 

Status & Withdrawal

When you open the document line you will also see the status immediately, per signer you can see whether it has already been signed or whether it is still pending.

If you want to make a change, you can 'withdraw' or cancel the document offered for signing. You can then offer it again or remove it and offer a fully adjusted document for signing.

 

Reminder and expiration of the request

If no signature is received, a reminder will automatically be sent every 4 days until the request expires (which is after 14 days).
