With document templates you can automatically enrich standard documents in your organization with employee data.
To be able to manage document templates, the permission Settings: General must be activated for the company manager.
In eveHRyday we have a lot of employee data, much of which is also often filled in in all kinds of agreements between employer and employee. Think of an employment contract where you want to include contract and salary data in addition to the name and address details. Or a lease car agreement, in which you would like to state which car it concerns.
In eveHRyday you can easily add unlimited templates where we name the various variable fields with what we call 'Replacement Tags' so that you can easily generate them later.
After generating such a document you can of course also use the electronic signature function. You can read more about this in the support article electronic signature.
Replacement tags
You first create a template in Word. Then you search in eveHRyday for the desired replacement tags. You can find the replacement tags via the left menu, choose settings, then click on the 'Templates' tab.
At the top of that tab you will see the option to upload your template. And once you have created and uploaded one or more templates, you can find them there again. You can view an example of those templates. You can also download your template after which you can adjust something and then add the template again.
Below that are the replacement tags. The first column contains the description of the field. The second column contains the replacement tag. This always looks like this: ${first_name} with the field name between the braces. The last column is the value.
Copy each desired replacement tag to your Word template, make sure you adjust the layout to that of your Word template. Save, upload and you're done.
Generate template
Go to the employee, or new employee in concept, and then choose Documents in the horizontal menu bar.
Choose '+ Add Document'.
If necessary, choose the type so that you also set the correct retention period and determine whether the document may be visible to the employee.
After generating the document, click on the row and you can immediately preview, print or submit the document for electronic signature.
